First Contact to Move In

Three copy-ready messages to move a lead from inquiry to application to approved resident.

A room inquiry usually has momentum. The person is looking, comparing options, and deciding which next step feels easiest to take.

Clear messages help you keep that momentum moving. The goal is not to write a perfect sales email. The goal is to respond quickly, answer the obvious questions, and make the next step easy.

The Three Rules

  • Reply quickly.
    Leads are often comparing more than one room, and a clear reply makes it easier for them to choose the next step.

  • Answer the obvious questions.
    Include availability, rent, utility expectations, general location, and what happens next.

  • End with a clear action.

    Schedule the tour, submit the application, or confirm the move-in. Do not make the reader guess what to do next.

The Three Messages

Personalize the bracketed parts and send. Together they walk someone from first contact to move-in day.

Message 1: The First Reply

Send within a couple of hours of any new inquiry.

Hi [first name], thanks for reaching out about the room at [house name]! It's still available.

It's a private room in a shared house, [rent] per month plus [utilities] for utilities and internet.

If this sounds like a good fit, the next step is a quick tour. Would [day and time option 1] or [day and time option 2] work for you?

Message 2: The Post-Tour Follow-Up

Send the same day as the tour, while the visit is fresh.

Hi [first name], thanks for coming by [house name] today!

If you'd like to move forward, here's the application: [application link]. Rooms fill quickly, so if it feels like a fit, getting your application in sooner puts you first in line.

Message 3: The Approval and Welcome

Send as soon as you've approved the applicant.

Hi [first name], Great news! Your application has been approved!

Please send your preferred move-in date as soon as you can. Once I have that, I’ll send the lease documents and resident portal setup information. The room is secured once the required lease documents are signed and the move-in payment is received.

We're excited to welcome you to the house!
